Tender description
Venues and Events team uses a customised CRM and booking system. This system has been in use for a few years and the team is dependent on this system as it is. Procuring a different system is possible but it would require at few months in order to migrate the data, train the team and communicate a change with all existing clients. The system provides essential procedures for event management by providing a calendar of events for each of the 20+ rooms available for hire, including Hackney Town Hall Assembly Hall, both Atria and the Council Chamber. The calendar is essential in keeping track of present and future bookings. It also keeps a record of every client (past, future and present) therefore managing essential GDPR. The management is planning to replace this system by next year using a custom built option, however, that will take a 8 to 10 months at least. In the meantime, we received an invoice for the renewal of the licenses which expire in October, so this invoice needs to be processed by then.
