Tender description
The Learning Team delivers outdoor educational programmes across various open spaces in the City of London, with a core focus on serving schools and youth groups. The primary individuals responsible for making bookings are typically busy professionals, such as teachers, school administrators, or youth group leaders. The programmes on offer encompass a range of hands-on, nature-based learning activities, including pond dipping, habitat exploration, orienteering, and eco-art, designed to foster a deeper connection with the natural environment. Currently, the team relies on manual processes for managing bookings and invoicing, involving extensive email correspondence, which places a significant demand on staff time. Booking requests are logged into an Excel spreadsheet, creating a heightened risk of human error and inefficiency. To address these operational challenges, the team intends to procure a Customer Relationship Management (CRM) system with an integrated online booking and payment platform. This solution aims to streamline the customer experience, improve the consistency of data management, and facilitate a more efficient flow of information across the organisation's operations. The proposed automation of routine tasks, such as booking communications, will enable the Learning Team to redirect its efforts towards delivering high-quality educational services. Additionally, this approach is expected to reduce operational costs, optimise resource allocation, and improve overall service delivery.

About the buyer
City of London Corporation buys as a local authority, and sets out its own procurement policies and requirements for suppliers. Its City Fund draws on rental and interest income from the Corporation's own property, alongside business rates and council tax. New tender opportunities are advertised through the Corporation's Sourcing and Contracts Portal, where suppliers register. Lower-value opportunities also appear on Contracts Finder, with higher-value contracts advertised on Find a Tender. A three-year Commercial Pipeline gives suppliers early visibility of larger opportunities. The Corporation also runs soft market testing to shape future procurements with suppliers.
UK local government drives £140bn in annual procurement, led by social protection (£66.6bn) and education (£57.1bn).
Over the past 5 years, most of City of London Corporation's contract awards have been in architectural and engineering services, business services and construction work.
