Hire of Conference Rooms

The Trust requires conference space to facilitate a programme of events throughout the year which includes training, development, wellbeing and mental health workshops for its clinical healthcare staff over the forthcoming 12 months. The spaces provided will comprise of: 1) An auditorium: set up by the Supplier in accordance with the Trust's requests prior to the event. 2) Breakout rooms: the breakout rooms are booked individually for each event; if the Trust requires extra rooms, then it will ask for them, and the Supplier will use reasonable endeavours to accommodate the request. These will be set up by the Supplier as requested by the Authority before each event takes place. Refreshments are to be provided by the Supplier for each event throughout the day. The Supplier is required to ensure staff members are on hand to help serve and stock up the refreshments during the events. In addition, technical support and any additional services (E.g. poster boards) are to be provided on an ad-hoc basis as & when requested by the Trust. Event planning is fluid, so the Supplier will be required to be flexible, and use its reasonable endeavours to accommodate what happens on the day.
