The contract being tendered is for 3 years, from 1.8.2019 until 31.7.2022, with an option for a further extension period at the end of the contract term for a further term of 3 years. This tender project is seeking to appoint a suitably qualified supplier whose experience, initiative and innovation will be an asset to the schools in enhancing the appearance of the grounds and general campuses along with all pitches used for football, rugby, cricket and various other sports. The contract will be fixed price in nature, with the supplier invoicing the client for one-twelfth of the annual cost on a monthly basis. Whilst the monthly charge will represent one-twelfth of the contract cost, reconciliation will take place annually to reconcile the achievement of the and delivery of the specification of the contract within each location. The client requires that the tendered specification is undertaken at all times and the successful supplier is expected to have a system in place to cover for both planned and unplanned absence of the staff dedicated to the contract and also the resource to meet the season needs of the contract. The contract may be let as a whole ‘lot’ or indeed split into 3 ‘lots’ comprising of each secondary school and the respective feeder primary schools. The scope of the contract and specification will include but not be limited to: 1) Maintenance of grassed areas; 2) Sports pitch marking and maintenance; 3) Maintenance of shrub and plant borders; 4) Hedge and tree maintenance; 5) Weed control; 6) Fence lines; 7) Drainage ditches; 8) Preparation and maintenance of the cricket squares. It is also the objective of this tender for the successful supplier to have in place a management support structure, site supervision and training plan that ensures that all client locations are kept to standard at all times and that the required grounds maintenance specification is achieved consistently. It should be noted that the successful supplier will be expected to provide innovation, proven maintenance methods and appropriate equipment to the contract, thus ensuring that the highest levels of service are maintained in all areas at all times. The successful supplier will be expected to actively work with the client to support environmental statement/aims, outline their own environmental policies and demonstrate what measures and procedures they propose to take. Lighthouse Schools Partnership (Multi Academy Trust) is expected to grow in the number of schools becoming part of the Trust during this contract period, and the provision of grounds maintenance services within these schools when they have joined the MAT will fall under the scope of this contract. The successful supplier will be expected to provide this service within these additional schools using the same costing model that they applied to their successful tender submission for the Lighthouse Schools Partnership at the point of tender submission. The duration of contract for these schools will not be increased and they will join the contract for the remaining contract period that exists at the point of entry into the MAT. Please note: further schools may be added to the contract during the tender process and during the life of the contract, as detailed above.
