Summary of the work Sanctuary requires a team with robust knowledge and experience in adoption, change and digital skills. Expected Contract Length Up to 2 years Latest start date Monday 9 January 2023 Budget Range Budget has been approved up to the value of £60,000 in FY 22/23, with a forecast of up to £250,000 for FY 23/24 (subject to approval). Why the Work is Being Done Due to successful implementation of our Modern Workplace programme, with over 5,000 employees migrated to MS365 we have a growing need to expand change & adoption and digital skill expertise and resource to meet the growing demands and needs of our colleagues.  Other strategic factors such as improving customer experience, increasing digital skills and driving technology enabled change require Sanctuary to seek partner support to enhance current skills and resource. Problem to Be Solved Due to skills and resource limitations, we require a Microsoft partner with a strong, enduring and robust direct relationship with Microsoft to enable Sanctuary to leverage economies of scale, access public sector initiatives and public sector discounts, explicitly Microsoft Gold Partners specialising in adoption and change. This includes having PROSCI accreditation and being confirmed as a Microsoft global training provider. Who Are the Users Our employees need to utilise all the functionality provided to them through the modern workplace programme in an engaging and user centric way, to ensure investment is maximised, to deliver high levels of customer service and to continue to be productive and collaborative across their working week. Work Already Done As part of our Modern Workplace deployment, we are already using PROSCI and ADKAR methodologies, we also follow Microsoft best practice on training and adoption materials. Existing Team The supplier will be working with the Technology Adoption team, enabling the business to get maximum value out of the tools. Supporting the delivery of successful adoption by embedding change projects and sustaining the use of new technology. The team apply end-user insights to develop adoption, communication and learning strategies. The supplier will be people focussed and passionate about delivering an excellent customer experience, whilst understanding unique requirements and supporting customers throughout their digital journey. Current Phase Not applicable Skills & Experience • Due to level of strategic importance we require a partner who can deploy services within 2 weeks of the request • Provide commercial options that enable the delivery of discreet projects with specific outcomes. • Provide commercial options that enable the delivery of broader programmes with a range of outcomes. • Provide Microsoft change and adoption professional services specific to MS365 • Provide Microsoft change and adoption professional services specific to PowerPlatform • Provide Microsoft change and adoption professional services specific to Process improvement • Provide Microsoft change and adoption professional services specific to digital champions • Provide Microsoft change and adoption professional services specific to , champion networks and citizen development communities • Provide proven Microsoft digital upskilling at scale, across a variety of demographic groups in a Not For Profit or equivalent setting. • Provide Qualified change resources, specifically PROSCI • All MS365 resources needs to be certified • All Powerplatform resources need to be certified • All SharepointOnline resources need to be certified • All Dataverse resources need to certified. • On behalf of Sanctuary, secure MS initiative funding and/or product initiatives aligned with the Sanctuary Technology Roadmap • Demonstrate technology enabled Accessibility and Inclusion in all change management and adoption , digital skills , app design and deployment Nice to Haves • Provide Microsoft change and adoption professional services specific to MS compatible device • Provide proven and certified skills and expertise in MS Viva (Value case creation through to value case realisation) • Provide proven and certified skills in SPoL/ Modern Intranet deployments (Value case creation through to value case realisation) Work Location The organisation's Head Office is: Sanctuary House, Castle Street, Worcester, WR1 3ZQ This is also where the Technology Adoption team are based. Most work is expected to be undertaken remotely. Working Arrangments The supplier will be working remotely, with some requirements to work from specific locations (London area, Banbury, Hull, Worcester HQ). The contract does not cover expenses, travel and subsistence associated with travelling to a Sanctuary location or on behalf of Sanctuary business. MS “compatible device” refers to the hardware commitment Sanctuary have to the use of Microsoft laptop devices and Microsoft software such as MS365 and MS Edge. 2. Could you please provide the Sanctuary Technology Roadmap? A copy of the technology roadmap can be requested by emailing group.procurement@sanctuary.co.uk with “MS Adoption Change and Digital Skills Partner – technology roadmap request” in the title. 3. “Due to level of strategic importance, we require a partner who can deploy services within two weeks of the request”.Could you please confirm if this refers to the development of a change within two weeks, or mobilisation within two weeks? To confirm, we are looking for mobilisation in two weeks. 4. “Provide Microsoft change and adoption professional services specific to champion networks and citizen development communities”.Could you please clarify what is meant by citizen development communities? Sanctuary sees citizen development as the democratisation of digital transformation, enabling colleagues to automate case specific business processes themselves, within a community environment to share, collaborative and learn from one another. 5. When does Sanctuary Housing anticipate Phase 1 being completed by? End of March 2023. 6. Have Sanctuary Housing completed the successful implementation of their modern workplace programme with the assistance of a partner or has this been completed internally? With the assistance of partners. 7. What is the makeup of the Sanctuary internal change team? For the avoidance of doubt, Sanctuary have assumed internal change team means organisational change and adoption. There is a team of four permanent colleagues, comprising of one Customer Success Manager and three Technology Adoption Specialists. 8. What’s the rationale behind focussing on Power Platform? To maximise the investment in MS365 and enable speed to value business process automation in line with the Group's modernisation agenda. 9. Have Sanctuary started to use the Power platform to date? Sanctuary have been using Power platform for approximately three years. 10. Have Sanctuary identified requirements/use cases for Modern Workplace, App Modernisation, Collaboration Suite, Viva Suite? Sanctuary have identified a number of use cases.However, we are looking for a partner to support the identification of subsequent uses cases and this is reflected in the potential contract value of Phase 1 and Phase 2. 11. What is the existing licensing in place for M365, Power Platform and Azure? We have a range of existing licencing provisions, some are per user, others are per application.This tender is not to replace existing supplier arrangements for licencing.
