Summary of the work Bilingual training packages design and delivery for Microsoft 365 desktop applications Expected Contract Length 24 months with the option to extend for further 6 months Latest start date Monday 4 July 2022 Why the Work is Being Done Training is needed to set up a baseline level of, specific to role, knowledge and competencies for all users both for curated and for self-learning settings for approximately 170 employees. • Collaboration tools • File storage and sharing • Support implementation of, new to SCW, MS suite products • Navigation and use of functionality • Delivery of online training resources Applications included: • MS Teams • MS Exchange • MS SharePoint 365 • MS One Drive • Basic MS Excel Skills • Basic to Intermediate MS PowerPoint Skills • Basic to Intermediate MS Word Skills • Video conferencing platforms (Teams, Skype and Zoom) • Self Management / Productivity Tools: MS Lists, Power Apps, Viva Insights, Delve, OneNote, Viva Problem to Be Solved A Learning Programme and resources to support SCW business needs that will: • Upskill workforce in desktop applications increasing confidence, productivity and use of new functionality • Support roll out of ‘new to SCW’, software applications • Deliver online and/or in person training sessions in small multi-disciplinary learning groups • Provide cost effective, on line resources to support knowledge and skills development through self-discovery and guided/supported learning for existing and new staff when onboarding. Who Are the Users • Know when, where and which platform should be used to store files for security, sharing and collaboration and know who they are sharing them with • Use video calling platforms confidently including collaborating on resources during calls • Support the roll out of Teams and SharePoint 365 establishing user confidence and capabilities • Be able to identify context based applications for MS 365 learning • Support user productivity and well-being using support tools that can be utilised within Microsoft 365 • Able to confidently use Word, Excel and PowerPoint, identify and utilise context based functionality to improve effectiveness, efficiency and collaboration • Be confident to self-direct learning to solve challenges and improve effectiveness through use of appropriate software solutions Early Market Engagement No early market engagement has been carried out, however we are holding a virtual meet the buyer event on Thursday 5 May 2022, 1pm - 2pm. Please email procurement@socialcare.wales to book your place. Work Already Done Platforms are already available from the desktop. We have a variety of levels of user confidence mostly achieved through self-taught or peer supported learning. Teams and SharePoint 365 training should assume no prior knowledge has been provided as these platforms have not yet been formally introduced. SCW currently utilises the MS Office suite and has existing SharePoint 2016 (whole organisation) and SharePoint 365 (limited users) intranet sites. During 2022/23 it is planned to: • develop a new intranet using SharePoint 365 • roll out MS Teams as the preferred telephony solution Existing Team The ICT Team provides help desk support levels 1-2 Current Phase Not started Skills & Experience • Utilise existing and design and deliver complimentary training materials and sessions • Able to establish ‘curated’ online training resources for free to access and specifically designed materials to be hosted/accessed through SCW platforms on an ongoing basis • Experience developing blended learning programmes, able to provide options to deliver elements of training programme in real time both online and in person • Meet accessibility standards in training material design • Demonstrable experience of working with a structured, multi-disciplined organisation • Able to work in an agile and responsive manner as our needs are defined and change over time. In order to assess the layout of your organisation fully, we require an initial exploration phase to gather information and collateral. Are you open to exploring this option? Yes, If you anticipate this is a requirement, we would expect to see this phase built into the written response. 2. From our understanding of your requirement, we would look to operate in a phased approach with an initial exploration phase, a review and development of your training records, a gap analysis process, followed by delivery stages focusing on your training requirements. Would this be an option you are open to exploring? Yes, this would be required. 3. Can you confirm what technical training you would like delivered over the contract length, and is there a priority of which ones are completed first? Microsoft office suite with M/S Teams and SharePoint being the priority 4. How would the onboarding for the supplier look like? Is there a wish to have an onsite kick off? Onboarding from a contractual perspective would involve collaborative creation of the contract (Drafts can be found in the Digital Marketplace) We would also build in initial kick off meetings in order to refine details of the requirements to create project documents which will inform the contract.We are open to having a face to face meeting but virtual is the preferred method at this moment.
